Privacy Policy

This Policy explains how ROMAN TKACH processes personal data of visitors to tkach-roman.com, people who submit enquiries and clients under Regulation (EU) 2016/679 (GDPR) and applicable Polish law.

No DPO has been appointed because the present scale and nature of processing do not indicate a legal requirement to appoint one.
2. Data processed
2.1. Website use
IP address, request date/time, User-Agent, URL/referrer and technical logs may be processed.
Purposes: operation and security, diagnostics and abuse prevention.
Legal basis: Art. 6(1)(f) GDPR.
Retention: generally up to 90 days unless longer retention is needed for an incident or legal claims.
2.2. Analytics and advertising
With the relevant consent, Google Analytics, Google Ads and Meta Pixel may be used.
Data: online identifiers, device/browser information, website events and conversion data.
Legal basis: Art. 6(1)(a) GDPR and the ePrivacy rules applicable to optional cookies/similar technologies.
The site uses Google Consent Mode v2 in Advanced Mode. With consent denied, analytics and advertising cookies should not be stored, although Google may receive limited cookieless measurement signals. Meta Pixel should run only after marketing consent.
2.3. Contact form
The form collects:
- name;
- phone / messenger contact;
- email;
- message.
Purposes: respond to the enquiry, discuss a project, prepare an offer and take steps at the person's request before a contract.
Legal basis: Art. 6(1)(b) GDPR; Art. 6(1)(f) may also apply to general business correspondence.
Retention: up to 12 months after correspondence ends unless the data becomes part of a client relationship or is needed longer for legal claims.
Submitting the form does not subscribe the user to marketing.
2.4. Clients
Contact and billing details, contracts/orders, invoices, correspondence, payment information and access credentials provided to perform services may be processed under Art. 6(1)(b), (c) and (f) GDPR.
3. Recipients and providers
Depending on the function, data may be handled by:
- EKVIA Ltd — hosting and server infrastructure; the website server is located in a data centre in Bulgaria (EEA);
- the email operator for tkach-roman.com;
- Cloudflare — security and Turnstile;
- Google — Tag Manager, Analytics, Ads, Apps Script / Google Sheets;
- Meta Platforms — Pixel and advertising services;
- Telegram — technical notifications of new enquiries.
After a form submission, data may currently be delivered to the Controller's email inbox, a Telegram notification and Google Sheets via Google Apps Script.
Personal data is not sold.
4. Cloudflare Turnstile
Turnstile protects the form against automated submissions. During server-side verification, Cloudflare may receive the verification token and the visitor's IP address.
5. Transfers outside the EEA
Some providers may process data outside the EEA. Depending on the recipient, a Chapter V GDPR mechanism is used: an adequacy decision, including the EU–US Data Privacy Framework for a participating recipient, Standard Contractual Clauses, or another valid safeguard.
6. Rights
Where applicable: access, rectification, erasure, restriction, portability, objection, withdrawal of consent and complaint to the Polish President of the Personal Data Protection Office (UODO).
Requests: info@tkach-roman.com. Responses are provided without undue delay and generally within one month.
7. Required fields
Providing data is voluntary, but name, phone/messenger, email and message are required to submit the form and receive a response.
8. Automated decisions
No solely automated decisions producing legal or similarly significant effects are made.
9. Security
Measures include HTTPS/TLS, access controls, MFA where available, updates, backups and Turnstile.
